Buyer's guide
Most agencies already pay for more software than they use well. IT and automation specialists keep your systems secure and running, and connect the tools you already have so information flows between them without retyping.
What to look for
- Security first. Recruitment businesses hold a lot of personal data. Look for help with backups, managing devices, multi-factor sign-in and staff training. Cyber Essentials certification is a good baseline.
- Experience with recruitment systems. Partners who know your ATS and CRM can connect and automate them faster.
- Automation that saves real time. Start with the repetitive tasks that eat into consultants' days: data entry, follow-ups and reporting.
- Clear support terms. Response times, hours, and what's included in the monthly fee.
- Everything written down. Every automation and connection should be documented, so you don't depend on one person.
Questions to ask before you sign
- How quickly do you respond when something breaks?
- What's included in the monthly fee, and what's charged by the hour?
- Who owns the automations and connections you build?
- How do you keep our systems and data secure?
- What happens if we move to another provider?
Watch out for
- Automations nobody understands. Ask for documentation and a proper handover.
- Leaving security until something goes wrong. A breach costs far more than prevention.
