Buyer's guide
An AI recruitment platform replaces or sits alongside your ATS and CRM, with AI agents doing the admin: logging calls, writing notes, chasing candidates and finding matches. Changing your core system is a big decision, so take your time.
What to look for
- AI that does the work, not just suggests it. Look for agents that update records, draft outreach and move candidates through your process, with you approving the important steps.
- A solid recruitment system underneath. Take away the AI and you still need dependable records for jobs, candidates, clients and placements, plus reporting and permissions. Test the basics as hard as the clever parts.
- Your data, moved properly. Ask exactly what comes across from your current system (notes, attachments, history, custom fields) and who checks it.
- Built for agencies. In-house hiring tools work differently. Make sure it handles clients, fees and placements and, if you need them, contractor timesheets.
- Connections to the rest of your tools. Job boards, email, calendar, phone, LinkedIn and your back office.
Questions to ask before you sign
- Can we see it running on a copy of our own data?
- What does moving our data involve, how long does it take and what does it cost?
- Which of our current tools could this replace, and which will we still need?
- How are the AI features priced: included, per user or by usage?
- How long is the contract, and how do we get our data out if we leave?
Watch out for
- Long contracts signed before the team has tried it.
- AI features that are on the roadmap rather than in the product today. Ask for a live demo of each one you're paying for.
- Underestimating the change for your team. Plan the training and give people time to switch.
